Contract Administrator Location: Miami or Orlando, FL (in-office or hybrid, depending on candidate)
Compensation: $60,000 – $90,000, commensurate with experience
A well-established construction organization is seeking an experienced Contract Administrator to support project operations through strong contract administration, compliance tracking, and accounting coordination. This role is critical to ensuring contractual accuracy, lien protection, and financial compliance across active projects.
This position does not involve contract negotiation.
Position Overview The Contract Administrator will be responsible for preparing, revising, tracking, and maintaining all project contracts and related documentation from issuance through final execution and closeout. This individual will work closely with Project Managers, Accounting, and Executive Leadership to ensure accuracy, compliance, and organization throughout the project lifecycle.
Key Responsibilities
- Prepare, revise, distribute, track, and archive contracts through final execution
- Maintain detailed and organized audit files for each project, including:
- Original contracts
- Correspondence, amendments, deviations, and clarifications
- Payment schedules and authorizations
- Insurance certificates (COIs) and contractual compliance documentation
- Manage and ensure compliance of all Certificates of Insurance (COIs) for GCs and subcontractors
- File Notices to Owner (NTOs) and maintain progress logs to protect lien rights through project completion
- Track authorizations, approvals, and project correspondence
- Support Project Managers with purchase orders, DOP distributions, delivery tickets, RFIs, RFCs, change proposals, and related documentation
- Maintain accurate Contract Logs and Change Order Logs for each project
- Process, track, and reconcile incoming payments in accordance with company financial policies
- Perform daily accounting-related tasks including verifying, posting, and reconciling accounts receivable
- Communicate with clients regarding payment status and timelines
- Coordinate closely with Project Managers and Executive Leadership to ensure data accuracy
- Other duties as assigned
Qualifications & Skills
- Proven experience in contract administration (construction industry preferred)
- Working knowledge of accounting and accounts receivable processes
- Exceptional organizational skills and attention to detail
- Strong drafting, proofreading, and communication abilities
- Ability to work independently and manage competing priorities
- Proficiency in Microsoft Excel and Word
- Strong reporting, problem-solving, and process management skills
- Self-starter with a proactive, team-oriented mindset
